This Privacy Policy explains how we collect, use, and safeguard information when you use our calendar synchronization service. Our practices are designed to comply with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).
1. What Information We Collect
Our Service interacts with two distinct types of users: Club Administrators and general Calendar Subscribers (end-users). The data we collect depends on how you interact with the Service.
From Club Administrators and Team Managers
- Account Information:To securely manage a club's fixtures, administrators must create an account. We collect your name, email address, and authentication data (provided either directly or via Single Sign-On providers like Google).
- Fixture Data: When you upload a fixture export to our portal, we collect the match data contained in the file (e.g., team names, match dates, kickoff times, and venue locations). Note: We do not require or intentionally store individual player names, dates of birth, or personal contact details. If this information is included in a raw export, our system is designed to strip or ignore it during processing.
From End-Users (Calendar Subscribers)
Our Service for end-users is designed to be minimally invasive. We do not require parents, players, or supporters to create accounts, provide names, or supply email addresses to subscribe to a calendar.
- System and Routing Data: When your smartphone or calendar application (e.g., Apple Calendar, Google Calendar) polls our servers for updates, we automatically collect basic routing and analytics data. This includes your IP address, browser/device type (User-Agent), and the specific team calendar you are requesting.
- Engagement Data: If you click on a sponsor or club link provided within a calendar event or on our web portal, we record that a click occurred to measure engagement.
2. How We Use Your Information
We use the information we collect strictly to operate, secure, and improve the Service:
- Providing the Service: To dynamically generate and update the
.icscalendar files so end-user devices reflect the correct match times and locations. - Authentication & Security: To verify Club Administrators, secure club data, and prevent unauthorized access to team portals.
- System Analytics & Telemetry: To monitor server performance, manage traffic loads during peak weekend hours, and diagnose technical errors.
- Sponsor Reporting (Aggregate Data Only): We use engagement data (such as calendar poll requests and link clicks) to generate anonymized, aggregate performance metrics (e.g., total impressions, click-through rates) for club sponsors. We never share personal end-user data, such as IP addresses or device identifiers, with sponsors.
- Communication: To contact Club Administrators regarding their specific club integrations, account status, or system outages.
We do not sell, rent, or trade any personal data to third-party marketers or advertisers.
3. Third-Party Service Providers
To operate securely and reliably at scale, we use trusted enterprise-grade infrastructure providers. Your data may be processed or stored by:
- Vercel: Hosts our web application, serverless APIs, and provides basic, anonymized edge analytics.
- Supabase: Provides our secure, encrypted database infrastructure where match fixtures and aggregate telemetry logs are stored.
- Clerk: Acts as our secure identity and authentication provider, managing Club Administrator accounts, logins, and session security.
These providers are bound by strict enterprise security and privacy protocols and are not permitted to use your data for their own independent purposes.
4. Data Retention and Security
We take reasonable steps to protect the data we hold from misuse, interference, loss, and unauthorized access.
- Retention: Match data is generally kept for the duration of the current sporting season to ensure calendars remain accurate and to provide historical analytics to clubs. We periodically clear historical match data that is no longer required.
- Security: All data transfers are encrypted via HTTPS/SSL. Database access is strictly authenticated, and user accounts are protected by enterprise-grade identity management protocols.
5. Your Rights
Under Australian privacy law, you have the right to request access to the personal information we hold about you and request its correction if it is inaccurate.
- Club Administrators:You may access, update, or delete your account information at any time by contacting us. If you wish to have your club's fixture data removed from our servers, you may request a complete deletion of your team's records.
- End-Users: Because our calendar subscription service operates without user accounts, we do not hold personally identifiable profiles (like names or emails) for calendar subscribers.
